Marketing automation built
for Canadian coaches.
Coaches are some of the best users of marketing automation, and also some of the worst-served. The market is full of generic templates that don't fit how coaching businesses actually sell — which is through trust, sequence, and an experience that feels personal even when it isn't always live. The Canadian coaches we work with want a system that handles their funnel without making it feel like a funnel.
Where it's leaking
for most coaches and course creators.
New clients arrive without a clear onboarding
You close a discovery call on Monday. By Wednesday the client hasn't heard from you, paperwork isn't signed, and the first session is two weeks out. The window where they were excited has already closed.
Course delivery + coaching + community live in different tools
One platform for the course, one for member calls, one for the email list, one for payments. Every new client has to be added to all four, manually, by someone (usually you).
Past clients drop out of orbit
You wrap a 12-week program with a client who did well. Three months later, they're not in your funnel anywhere. No reactivation sequence, no check-in, no graceful path back. They go look for the next coach instead.
The coaching system we build inside GoHighLevel
Every coaching OpsPilot build includes the same backbone, mapped to your specific offer ladder: a discovery-call → onboarding → program-delivery → graduation → reactivation flow that runs whether you're on a call or off the grid. We host the course content inside GoHighLevel itself, so the platform that takes payments is the same one that delivers the program and tracks attendance. Member portals get branded to your coaching practice — not a generic membership skin.
Full deep-dive on our GoHighLevel build process is on our GoHighLevel agency page.
Every coaches OpsPilot
includes these.
Courses + memberships inside GHL
Drip-released, attendance-tracked, with optional gated tiers.
Discovery call → onboarding automation
Booked call triggers contract, intake form, welcome sequence.
Nurture sequences for warm leads
Run automatically between discovery and decision.
Graduation + reactivation flow
Past clients get a structured path back, not just a vague offer.
Payment + invoicing
Subscriptions, payment plans, one-time, all inside the same system.
Cohort + 1:1 tracking in one CRM
See where each coaching client is in their program at a glance.
Change Your Results
We rebuilt the Change Your Results website and consolidated everything — course platform, member portal, onboarding emails — into a single OpsPilot system. New clients land in the same polished experience automatically, and the coach got back the hours that used to go to manual onboarding.

Specific coaches and course creators we've worked with.
If you're a Canadian coach and the gap between 'I had a great discovery call' and 'they paid and started' has too many manual steps in it — that's the system we build.
Sub-types of this vertical
Coaches questions,
answered.
The questions we get every week from coaches and course creators, answered honestly.
Yes. GoHighLevel can host courses and memberships natively, so most coaches we work with consolidate onto it. If you have a course already running on Kajabi, Teachable, or Thinkific, we can either migrate it over (we've done it many times) or leave the course where it is and use GoHighLevel for the CRM, email, SMS, and booking pieces only. Both work; the right call depends on whether your course needs features GoHighLevel doesn't have natively.
Yes — and this is actually our most common coaching client. 1:1 coaching is where automation pays off the most: discovery call → contract → intake form → welcome sequence → session reminders → mid-program check-ins → graduation → reactivation. None of these moments need you personally; they need to happen consistently every time. That's what the system handles.
Personalization tokens (their name, their stated goal, their session date, their coach if you have more than one) plus carefully written copy. The automated emails should read like you wrote them this morning — that's a writing problem, not a technology problem, and it's the part of the build we put the most effort into. Most of our coaching clients report that new clients reply to automated welcome emails as if they were personal, because the voice is right.
Yes. CRM pipelines are the right tool for this — one pipeline for 1:1 clients and a separate pipeline for each cohort, with stages that match how each offer actually moves a client from interested to paying to delivered. Tags and custom fields handle the cross-cutting attributes (industry, lead source, lifetime value).
Two to three weeks for most coaching businesses. Most of the build time is copy — we write every email, SMS, and confirmation page in your voice, which is what makes the system feel personal. The technical configuration is the fast part.
We migrate carefully. Domain warm-up, gradual sender reputation transfer, and we move your current list in segments rather than all at once. Coaching list deliverability is fragile because the audience is engaged enough to mark things as spam if it stops feeling personal. We treat the transition as its own project, not an afterthought.
Most coaching builds we deliver come in between $4,500 and $7,500 CAD as a one-time setup, plus the GoHighLevel platform fee directly to GoHighLevel (around $97–$497/month USD depending on plan and whether you're using their courses module). Higher end if you have a complex existing course catalog or multiple cohorts running in parallel.
We're a better fit once you have something to put through the system. If you don't have an offer, a price, or a small list of paying clients yet, automation is putting the cart in front of the horse — you need the validated offer first. We'll tell you that honestly on a call. The right move when you're pre-launch is usually a simple website + one funnel, not a full OpsPilot build.
