Yes, with caveats. Most of our wellness clients keep their EMR for clinical notes and records (where it's required for compliance) and use GoHighLevel for the marketing layer on top: booking widget, reminders, follow-ups, retention, reviews. The two systems stay in their lanes. We can integrate them via Zapier or direct API in most cases so a new booking flows from one to the other automatically.

It scales down well. Solo practitioner setups usually need 30-40% of the features a multi-room clinic does — mostly booking, reminders, post-session, retention. The platform fee is the same either way ($97/month USD entry plan), so the per-appointment cost is higher for solo, but a single recovered no-show usually covers the month.

We don't put clinical notes inside GoHighLevel — those stay in your EMR. What GoHighLevel handles is marketing communications (reminders, follow-ups, retention) which are not regulated the same way as health records. We keep the boundary clear: clinical data in the EMR, relationship data in OpsPilot. If you have specific provincial privacy requirements, we'll work them into the configuration.

A three-step reminder cascade is the biggest single lever: email 48 hours out, SMS 24 hours out, SMS 1 hour out. SMS has open rates above 95% and gets read within minutes, which is what kills the 'I forgot' no-show. We also add a 'reschedule with one tap' link to the reminders so clients who genuinely can't make it can move the appointment instead of just missing it.

Yes. When an appointment is cancelled, the system can automatically text the next 1-3 people on your waitlist with the open slot. First to confirm gets it. We've watched clinics fill cancellations within 10 minutes that previously would have just been lost time.

Opt-out is baked in — every SMS includes 'reply STOP to opt out' per CRTC/CASL rules. Clients who opt out fall back to email-only reminders. We also collect channel preference on the intake form so clients who prefer email-only never get a text in the first place.

Two to four weeks. Solo practitioners on the lighter end, multi-room clinics with multiple practitioners and complex service catalogues on the longer end. The bulk of the time goes into mapping your service menu (with prices, durations, prep instructions, and buffer times) and writing the reminder/follow-up copy in your voice.
